If you do not have Facebook connected to Aesthetix CRM, or you just need a one-time pull, you can export your lead ad submissions from Facebook Business Suite as a CSV and import them into Aesthetix CRM manually. This is a useful backup, but for ongoing campaigns we recommend the native integration so leads sync automatically. See the Facebook Lead Ad Troubleshooting & Field Mapping guide to set that up.
In Business Suite you can export a file with the information people submit through your instant form. You can also download this data from Ads Manager, request it through the API, or access it through an integrated CRM. If you do not have a CRM integrated with Facebook, downloading directly from Business Suite is the simplest option.
Go to Business Suite.
Click More Tools from the menu.
Click Instant Forms.
Click Download next to the form with the leads you want to export.
Choose how to download your leads:
Click Download New Leads to export only the leads you have received since your last download.
Click Download by Date Range to download all leads from a certain time period, then choose the date range and click Download.
A window appears with your form information. Click CSV to download the leads in your preferred file type.
You have 90 days from the time a lead submits their form to download their information; leads expire after 90 days. Export your leads regularly so you do not lose any.
If you do not see an Ad ID or Ad Set ID field in your file, it may be because the lead was generated via organic reach, submitted via an ad preview, or you do not have advertiser privileges on the ad account that created the campaign.
If you cannot download your leads file:
Check with your Business Manager admin to see if they have customized access permissions in Leads Access Manager.
If they have not customized permissions, ask your Facebook Page admin to give you the correct access. Before customization, only Facebook Page admins can download leads.
If they have customized permissions, make sure they gave you the correct access. After customization, only people assigned access permission can download leads.
Once you have your CSV, import it and add the leads to a workflow or campaign for follow-up.
Navigate to Contacts and click the Import Contacts bulk action.
Select your CSV file and click Next.
Map the fields from your Facebook lead form to your Aesthetix CRM fields, then click Next.
On the Details tab, open the Advanced dropdown, optionally add a tag for these leads, and toggle on Add To Workflow/Campaign. Select the workflow or campaign you want to add the imported leads to.
Adding the leads directly to a Lead Capture or nurture workflow during import means they start receiving automated follow-up right away.
If your account uses the older import interface:
Navigate to Contacts and click the Import Contacts bulk action.
Select your CSV file and click Next.
Map the fields from your Facebook lead form to your Aesthetix CRM fields, then click Next.
Review the sample data and click Continue.
Select your duplication strategy.
Select or create a tag to apply to everyone in the CSV.
In filters, type tag, then select the tag you created.
Select all the contacts.
Click the Add To Campaign/Workflow bulk action.
Click Proceed, select the campaign or workflow from the dropdown, name the action, then click Add to Campaign/Workflow.
When you export and import lead data for medical-aesthetic services, only handle the contact identifiers you need, follow your practice's HIPAA policies, and get patient consent before sending marketing texts or emails.
Workflows: The Lead Capture and nurture workflows you add imported leads to live in the Workflows collection.

When should I export leads manually instead of using the integration?
Use manual export as a backup, a one-time pull, or when Facebook is not connected to Aesthetix CRM. For ongoing campaigns, the native integration is better because leads sync automatically.

Can I export from Ads Manager instead of Business Suite?
Yes, you can also download lead data from Ads Manager, via the API, or through an integrated CRM. Business Suite is the simplest when you do not have a CRM integrated.
What file format are the leads in?
You download them as a CSV, which you then map and import into Aesthetix CRM.
