If you are moving to Aesthetix CRM from HighLevel, your account can be transferred to us so you keep most of your existing work. This guide explains what carries over, what needs to be rebuilt, and the steps to prepare for a smooth move. Your Aesthetix CRM onboarding manager coordinates the transfer with you.
A HighLevel account can be transferred between agencies, and the request must be initiated by the current agency owner. Once approved, the full account (automations, pipelines, funnels, settings, and more) is moved to Aesthetix CRM.
Not everything transfers automatically. Certain features, integrations, and third-party services will need to be reconfigured after the move.
Websites and funnels.
Calendars built in the platform. Note that external calendar integrations will be disconnected.
All automations. Note that they will all be set to Publish.
Contacts along with their conversations, appointments, opportunities, and history.
Users with the "Account" user type who are assigned only to this account and no other.
Contacts remain enrolled in their workflows, and workflow enrollment data stays as is.
Account-level API keys remain the same.
All auth connections are deleted (for example Google, Facebook, Instagram, QuickBooks, Clio, DrChrono, Yext).
All Facebook and Google settings are cleared.
Account-level Stripe fields are cleared.
Any SaaS settings. SaaS mode is automatically disabled before the transfer.
Smart Lists do not currently transfer.
Mailgun and SMTP credentials do not transfer.
Active add-on subscriptions (for example WordPress, Yext, WhatsApp, Dedicated IP) do not transfer and must be cancelled before the transfer can happen.
Your phone system runs on Twilio, which Aesthetix CRM fully manages for you. Before your numbers can be used, two things must happen:
A new A2P Brand and Campaign registration is submitted and approved under your Aesthetix CRM account. Approval can take several days, so we begin this early.
We submit a Twilio support request to prepare your numbers for transfer. Once the A2P Brand and Campaign are approved, we coordinate the number transfer to line up with your go-live date.
You do not need a Twilio login. Our team handles the registration and number transfer on your behalf. For more detail, see the Phone collection.
Mailgun or SMTP credentials are not included in the transfer and must be set up fresh in your new account.
DNS records need to be updated quickly after the transfer so email delivery is not interrupted. Our team can either give you the exact records to add for your sending domain or configure them for you. If you would like us to configure them, provide DNS access to [email protected].
OAuth connections do not transfer and must be reconnected after the move, including:
Google accounts (calendar sync, Gmail, and so on).
Facebook and Instagram (ads, messaging, and lead forms).
TikTok, LinkedIn, and other marketing integrations.
Prepare a list of every integration you currently use so your team can reconnect them promptly.
Smart Lists do not currently transfer. Note down the filters and segmentation rules in your existing Smart Lists, and let our team know if you would like help recreating them after the move.
A few services are not carried over and must be cancelled or set up separately:
WordPress hosting.
Yext listings.
WhatsApp business messaging.
Dedicated IP addresses for email.
Check with your existing provider to cancel these before the transfer, then plan the new subscriptions with your Aesthetix CRM onboarding manager.

Who has to start the transfer? The current HighLevel agency owner must initiate the transfer request. Once it is approved, your account moves to Aesthetix CRM.
Will I lose my automations and contacts? No. Automations, contacts, conversations, appointments, opportunities, funnels, and calendars all transfer. Automations arrive set to Publish, and contacts stay enrolled in their workflows.
Why do my integrations stop working after the move? OAuth connections such as Google, Facebook, Instagram, and accounting tools do not transfer for security reasons. You reconnect them in your new account after go-live.
Do I need a Twilio account to move my phone numbers? No. Aesthetix CRM manages Twilio for you. Our team registers your A2P Brand and Campaign and coordinates the number transfer. See the Phone collection for more detail.
Why do my Smart Lists disappear? Smart Lists do not currently transfer with the account. Save your filter logic beforehand, and our team can help rebuild them after the move.
What do I need to cancel before transferring? Cancel active add-on subscriptions that do not transfer, including WordPress hosting, Yext, WhatsApp messaging, and Dedicated IP. Plan replacements with your onboarding manager.
