Email marketing is one of the most powerful features inside Aesthetix CRM. It allows you to design, schedule, and automate email campaigns directly from your dashboard — without needing any third-party tools. Whether you're sending newsletters, promotions, onboarding sequences, or follow-ups, Aesthetix CRM gives you full control over how you communicate with your contacts.
To access the email marketing tools:
Log into your Aesthetix CRM account.
In the left-hand navigation, click on Marketing.
Open the sub-menu and select Emails.
All the tools you need to create and manage your email campaigns are available here.
When creating a new email, you have two options:
Blank Template – Build your email entirely from scratch. Once selected, you'll be taken to the email builder where all tools are available on the left side of the screen.
Pre-Made Templates – Choose from a gallery of professionally designed templates. You can also import templates from other platforms (such as ActiveCampaign or Mailchimp) using a share link, or paste in raw HTML code.
Aesthetix CRM's email builder features a smart drag-and-drop interface that makes it easy to create polished emails without any coding or design experience. You can:
Apply your brand's colors, fonts, and styles
Upload images and adjust layouts
Add buttons with actions like linking to a URL, downloading a file, or triggering a voicemail
Insert a footer with an unsubscribe link (required for deliverability compliance)
Auto-resize content for mobile and desktop views
Restore previous drafts using version history
Use merge fields (also called personalization tags) to make each email unique to the recipient. For example, you can automatically insert a contact's first name into the subject line or body of the email. Personalized emails consistently drive higher open and click-through rates.
Before sending, make sure your contacts are organized in Aesthetix CRM:
Navigate to the Contacts tab.
Import your existing list via CSV file, or manually add individual contacts.
Assign tags to contacts to make targeting easier.
Use Smart Lists to create dynamic segments based on tags, behavior, lead source, purchase history, or other criteria.
Segmented campaigns significantly outperform unsegmented ones — so taking the time to organize your list will pay off.
Go to Marketing > Emails > Campaigns.
Click + New Campaign or edit an existing one.
Build or select your email template.
Add content, images, and links. Use Preview and Test Email to verify layout on both desktop and mobile before sending.
Click Send or Schedule.
Fill in the following details:
Sender Name – The name recipients will see in their inbox.
Sender Email – Must use a verified sending domain.
Subject Line – Keep it short, personalized, and engaging. Avoid excessive punctuation or all-caps.
Recipients – Select a segment, Smart List, or specific contacts.
Additional Settings – Configure link tracking, UTM tracking, and tags as needed.
Send Now – Delivers the email immediately to all selected recipients.
Schedule – Set a specific future date and time for delivery.
Batch / Drip Send – Throttle delivery over time to reduce traffic spikes and improve deliverability on large lists.
Smart Send / AI Schedule – Optimize send timing automatically for better engagement.
RSS Campaign – Automatically send emails based on new content from an RSS feed.
Note: You can attach files to your campaign on the Send or Schedule screen. Maximum attachment size is 10MB.
For multi-step campaigns triggered by contact behavior, use Workflows:
Navigate to Automation > Workflows > Create New Workflow.
Select Start from Scratch or use a pre-built template.
Add a Trigger (e.g., New Contact Added, Form Submission, Tag Applied).
Add an Email action and compose your message.
Add Wait steps between emails to space out your sequence.
Continue building the sequence and click Publish when ready.
Workflows allow you to build complete customer journeys — from initial lead capture to conversion — without any manual effort. You can combine email with SMS, pipeline moves, and booking links for a true multi-channel experience.
Monitor the success of your campaigns through Analytics > Email Reports. Key metrics to track include:
Metric
What It Tells You
Open Rate | How many recipients opened your email |
Click-Through Rate (CTR) | How many clicked a link inside the email |
Bounce Rate | Emails that couldn't be delivered |
Unsubscribe Rate | Contacts who opted out after receiving the email |
Use this data to make informed adjustments — test different subject lines, sending times, and content to continuously improve results.
To ensure your emails land in the inbox and not the spam folder:
Set up a verified sending domain with SPF, DKIM, and DMARC authentication.
Always include an unsubscribe link in every email (use the Footer element in the builder).
Clean your list regularly — remove inactive or invalid contacts every 6 months.
Warm up your domain gradually if you're starting a new sending domain with high volume.
Avoid spammy subject lines — no excessive punctuation, all-caps, or misleading language.
Test before sending — always send a test email to yourself to verify layout and links.
Can I import email templates from other platforms? Yes. You can import templates from services like ActiveCampaign or Mailchimp using a share link, or paste in HTML code from any platform.
Can I send unlimited email campaigns? Aesthetix CRM does not limit the number of email campaigns you can run or the number of clients you can create campaigns for.
What's the difference between Campaigns and Workflows? Campaigns are one-time broadcast emails sent to a selected audience. Workflows automate multi-step journeys and send emails based on triggers and conditions.
Can I recover a deleted or edited campaign? Yes. In the campaign editor, click the three-dot menu and select See Version History to restore a previous version.
How do I troubleshoot emails not being delivered?
Check your email service settings (SMTP or Email configuration)
Verify contact email addresses and remove invalid ones
Confirm your sending domain authentication (SPF, DKIM, DMARC) is correctly set up
