Aspire Rewards Expiring Points Reminder: Quarterly Workflow
Confirm Aesthetix CRM Workflow and Templates
The Workflow titled Aspire Rewards Expiring Reminder found in the Patient Engagement folder is programmed to send an email and SMS.
The SMS template can be edited directly within the Workflow: Aspire Rewards Expiring Reminder. You may also opt to remove the SMS from the workflow.
The Email template must be edited from the Email templates interface. The name of the email template is Aspire Expiring Points.
The workflow is triggered when the contact field for Aspire Rewards Expiring Points is changed. We will walk through how to trigger the workflow in Step 4 below.
Export Patient List from Aspire
Login to Aspire. From the Aspire Dashboard, click on My Practice.
Navigate to Practice Intelligence, then Points Expiring.
Pull the Report for 90 Days, View the List, then Download the List.
Edit Excel File
Add a row at the top of the file for Name, Email, Phone, and Aspire Rewards Expiring Points.
Save the file as a .csv file type.
Import Contacts to Aesthetix CRM & Send the Email/Text
Navigate to Contacts in Aesthetix CRM
Click Import Contacts and select the .csv file to upload.
Map fields for Name, Email, Phone, and Aspire Rewards Expiring Points.
Name the Import
Advanced Settings
Uncheck the box for "Don't update empty values for existing records"
Add Aspire Rewards tag
Add new contacts to Aspire Rewards Expiring Reminder Workflow
Click Submit
When you click Submit, this will automatically enroll the contacts in the workflow and send the email and SMS templates included. Hooray!
