Communities lets your practice run a patient or member group inside Aesthetix CRM, and moderation tools keep that space safe and on-brand. Group Admins and Owners can ban members, review reported posts and comments, and transfer ownership of a group, while Aesthetix CRM automatically handles what happens to a group when a linked contact record is deleted.
Admins and Owners can remove a disruptive member from a group entirely. Banning a member removes them from the group and blocks them from rejoining, which revokes every ability a regular member has, including posting, commenting, and viewing content.
On web:
Go to the Members tab inside the community.
Click the "more options" (ellipsis) icon next to the member you want to ban.
Select Ban from group.
On mobile:
From the community homepage, tap Manage (visible to Admins).
Tap Members from the community settings page.
Tap the "more options" (ellipsis) icon next to the member you want to ban.
Select Ban from group.
A banned member cannot rejoin the group later, so use this for members who have violated your community guidelines rather than for a temporary timeout.
Any member can report a post or comment they believe breaks your group's rules. Admins review reported content and decide whether to keep it or remove it.
Reporting a post or comment:
Tap the "more options" (ellipsis) icon on the post or comment.
Select Report.
The member who submitted the report sees a confirmation toast letting them know the content was reported.
Reviewing reported content (web):
On the community homepage, click Settings.
Open the Reported content tab.
Any reported posts or comments appear here with Keep and Remove options so you can take action.
Reviewing reported content (mobile):
From the community homepage, tap Manage.
Tap To Review from the community settings page.
Any reported posts or comments appear here with Keep and Remove options.
Admins receive email, in-app, and push notifications whenever content in their group is reported, so nothing sits unreviewed for long.
If your community allows patients to post freely, treat reported content review as part of your regular HIPAA hygiene: a comment or post that references another patient's treatment, condition, or appointment details should be removed even if it wasn't reported, since community posts are visible to other members.
Community members and group owners are tied to contact records in Aesthetix CRM, and deleting that contact record has different effects depending on the person's role.
When the contact is a regular group member:
Deleting the contact permanently removes that person from the community. They lose all access to its content and features immediately.
They can no longer view posts, updates, or discussions, and can no longer post or interact in the group.
This action is irreversible. Once the contact is deleted, the person is fully cut off from the community.
When the contact is a group owner:
A contact who owns a group or location within the community cannot be deleted.
Ownership carries a level of authority and control over the group that Aesthetix CRM protects to keep the group running smoothly.
Any attempt to delete an owner's contact record is blocked until ownership is transferred to someone else first (see below).
To check who currently owns a group, or who its members and admins are:

Log in to the community to see the current owner listed on the group.

Click the Members tab inside the community page to see the full member list.

Click the Admins tab (after selecting Members) to see who has admin access.
Because deleting a member's contact permanently strips their access to any patient-related discussion or content in the group, treat contact deletion in a community context the same way you would any other patient data removal: confirm it's intentional before you act, since it can't be undone.
If the person who created or owns a group needs to hand off control (for example, a staff member who set up the group is leaving, or you want a specific team member to be the visible face of the community), you can transfer ownership to another team member with access to your account.
Open the group's settings from the community page.
Choose the option to transfer ownership.
Select the team member who should become the new owner.
Once transferred, the new owner has full authority over the group, including the ability to ban members, review reported content, and manage further ownership transfers.
Logging in as a specific member: Account owners and admin-level users can log in to a group as a specific contact when more than one contact is associated with their user. Select the contact from the list to view and interact with the group exactly as that person would see it, which is useful for troubleshooting what a patient is experiencing in the group.
Contact links: Clicking an owner's name on the group card opens that owner's contact record, so you can jump straight from the community to the underlying contact profile.
Access to a community group (who gets added, and when access is revoked) can also be automated. If you want members added to or removed from a group automatically based on a purchase, tag, or course completion, set that up with a workflow trigger for community access rather than managing it by hand here.
Can a banned member rejoin the group later? No. Banning removes the member and blocks them from joining that group again. If you need to remove someone temporarily, consider a conversation outside the platform instead of a ban, since there's no built-in "unban" option from within Communities moderation.
Who can ban members and review reported content? Group Admins and Owners. Regular members can report content but cannot ban other members or access the reported content queue.
Will I be notified when something is reported? Yes. Admins get email, in-app, and push notifications whenever a post or comment in their group is reported.
What happens to a member's posts if I delete their contact record? The person loses access to the community immediately and can no longer view or interact with the group. Their existing posts and comments are not automatically deleted by this action.
Can I delete the contact record for a group owner? No. Aesthetix CRM blocks deletion of a contact who owns a group or location until ownership is transferred to another team member.
Who can I transfer group ownership to? Any other team member who has access to your account. Once transferred, they gain full moderation authority over that group.
Is contact deletion reversible? No. Removing a contact from a community is permanent and cannot be undone, so confirm before deleting a member who is part of an active group.
Can I automate adding or removing members from a group? Yes. Use a workflow trigger for community access to automatically add or remove members based on actions like a purchase, tag, or course completion, instead of managing membership manually.
Does reporting content remove it automatically? No. Reporting only flags content for admin review. An Admin still has to choose Keep or Remove before any action is taken.
Can I see who reported a specific post? The reported content queue is built for admins to review and act on flagged content, not to track individual reporters. Focus on whether the content itself violates your guidelines when deciding to keep or remove it.
