Aesthetix CRM lets you run live sessions for your patient community right from Memberships, no separate webinar or streaming tool required. You can schedule Community Events with registration and reminders, host the live session in a built-in Live Room or with Go Live, and turn the recording into a Community post afterward. Everything lives under Memberships > Communities > Groups in your account.
Community Events are event posts that live inside your Community and Client Portal. They centralize the event title, date and time, description, location or link, and registration, and they surface actions like Add to Google or Add to iCal so members remember to attend. Depending on how you configure an event, it can be visible to everyone in the group or limited to a specific course, private channel, or membership level.
Key things Community Events give you:
Centralized scheduling. Create, publish, and manage every event detail in one place your members already visit.
Audience control. Gate an event by course, group, private channel, or membership level so only the right patients or partners see it.
Free or paid access. Charge a registration fee when it makes sense, or leave the event free.
Built-in reminders. Members can add the event to their own calendar and receive reminder emails you control.
Mobile access. Members can discover and register for events from the mobile app as well as the browser.
Go to Memberships > Communities > Groups and open the group where you want to create the event.
Open the group's Events tab and click Create Event.
Enter the event title, description, date, time, duration, and timezone. Add an event image or banner if you want one.
Choose a Location type: a Live Room hosted directly inside your Community, or an external link such as Zoom or Google Meet (covered below).
Choose who can see and attend the event. Restrict it by course, group, private channel, or membership level if you only want certain patients or team members to have access.
Decide whether the event is free or paid. Paid events let you set a price, choose a currency, and apply it to a single event or a recurring series.
Publish the event, then share it through a Community post, announcement, email, or SMS so members know it exists.








Use AX Pay for event payments. When you charge for a Community Event, connect AX Pay, Aesthetix CRM's own payment processor, instead of a third-party gateway. AX Pay offers better rates than Stripe and keeps registration payments in the same system as the rest of your practice's billing. See the AX Pay help article for setup steps.
Members can add any event to Google Calendar or iCal with one click, and they receive in-app notifications plus email reminder messages as the event approaches. New events also surface as alerts in the group's Discussions tab so members do not have to go looking for them.
Branding the reminder email increases attendance and reduces no-shows by keeping the message on-tone for your practice.
Go to Sites > Client Portal > Memberships > Settings > Email Settings > Communities > Event Reminder Email to create a new template or edit the existing one. You can personalize the subject and body content and align the wording with your practice's voice.
There is currently no built-in notification that alerts you when a member registers for an event; only the attendee gets a confirmation and reminder. If tracking registrations matters to your practice, use a custom registration form paired with a Workflow to notify your front desk or care team automatically. There is also no dedicated "cancel registration" button for attendees; on mobile, a member can remove an event from their personal calendar view from the event's menu, but this does not notify you as the host.
Live Room is a built-in event location option that lets you run the live session directly inside your Community instead of sending members to an outside meeting tool. You choose Live Room as the location type while creating the event (step 4 above), and members join from the event page itself. If you would rather use an external tool, Zoom, Google Meet, or another custom link remain available as location options.
Live Room uses the same interactive video experience as Go Live (below): video and audio, Speaker and Gallery layouts, screen sharing, real-time chat, emoji reactions, raise hand, and host controls to manage who can speak or share their screen.

Members discover the event from the group's Events tab, register, add it to their Google or iCal calendar, and get in-app notifications and email reminders as it approaches. When it is time, they join directly from the event page if you chose Live Room, or they open the external link you provided for Zoom, Meet, or another platform.
Go to Memberships > Communities > Groups. Open the group where you want to create the event.
Open the Events tab and click Create Event.

Enter the title, description, date, time, duration, and timezone, then set Location type to Live Room.

Choose who can view or attend the event: everyone, a specific course, group, private channel, or membership level. Click Next.

Choose free or paid. If paid, add the price and currency, then click Create Event.

Share the event with members through a Community post, announcement, email, or SMS.
At the scheduled time, open the event from the Events tab and click Live Room to start the session.

Live Room does not require members to install anything; they can join from a supported browser or the Aesthetix CRM mobile app while signed in.
Go Live is the same live-session engine that powers Live Room, but you can also start it any time from a Community group without scheduling a Community Event first. Use Go Live for spontaneous Q&As, quick check-ins, or a broadcast you want to run right now.
Go Live gives you two modes:
Meeting Room Mode: an interactive, many-to-many live room with host controls, chat, reactions, raise hand, screen share, and dynamic layouts (Grid or Speaker view). Use it for coaching calls, cohort workshops, or team huddles where everyone participates.
Stream Software Mode: a broadcast experience that connects to external encoders like OBS, Zoom, or StreamYard through a Stream Key and URL, while your community watches and chats natively inside Aesthetix CRM. Use it for webinars, launches, or announcements where you already produce video through outside software.
Both modes let attendees join from a supported browser or the mobile app with no extra installs, support live chat and emoji reactions, and can be recorded for a replay.
From your account, go to Memberships, hover Communities, and click Groups.
Click Login on the group where you want to go live.
Click the Go Live button (the red video-camera icon) near the posting area.
Add a title and description for the post. Choose whether to keep the livestream as a post after it ends, and whether to notify group members that you are going live. Pick the channel to publish to, then leave the start time as Now unless you want to schedule it.
Choose your video source:
Meeting Room: select Meeting Room, click Go Live, and allow your browser to use your camera and microphone. Members join by clicking Join Stream in the channel. Once connected, use the on-screen controls to switch between Speaker and Gallery view, manage audio/video devices, mute or remove participants, grant or revoke mic/camera/screen-share access, and pin a speaker.
Streaming software: select Streaming software, copy the Server URL and Stream Key, and paste them into your streaming app's RTMP or custom-streaming settings (Zoom, OBS, StreamYard, etc.). Start the broadcast in your streaming app, then start Go Live in Aesthetix CRM; your broadcast appears live in the chosen channel.
To finish, click End Session and confirm End session for everyone.

After the session ends, a post appears in the selected channel showing that the stream ended and the recording is processing. Once processing finishes, the recording is attached to that post, and post authors and group admins can download it directly.
When you use Stream Software Mode, your Stream Key stays the same across future sessions, so you do not need to reconfigure your encoder every time you go live. If you ever share your key by accident, reset it to generate a fresh one.
Go Live recordings mirror the in-call experience more closely so replays look clean and consistent: no black boxes when a participant turns off their camera, participant tiles stay aligned, names display correctly and stay in sync, and screen-sharing or multi-participant sessions use an optimized layout for clearer viewing.

You can host or join Go Live sessions from the Aesthetix CRM mobile app, so you are not tied to a desktop to run or attend a live session.

Every live call or broadcast runs on the same infrastructure that stores your on-demand images and videos, so recordings land in your Media Library alongside your other assets.
Integrated analytics: connection minutes, bandwidth usage, participant counts, and join/leave timestamps are tracked for every session, which is useful for capacity planning and deciding on participant caps.
Resource protection: sessions that exceed their connection-minute threshold automatically enter a grace period and then end, so a forgotten session cannot run indefinitely.
Embedding and sharing replays: share the auto-generated watch link with your audience, or embed the replay with an iframe on a funnel, website, or dashboard. Recordings appear in your Media Library alongside your other video and image assets.
Instead of downloading a recording and re-uploading it manually, you can publish a meeting or Go Live recording directly into a Community as a post in a few clicks. The post composer pre-fills with the recording's title and attaches the video automatically, and you can add discussion prompts before publishing.
Make sure the recording is available in Aesthetix CRM and that you have access to the target Community.
Open the recording and click Share as Post.


Select the Community you want to publish to. You can search if you manage several Communities.


Review the auto-filled post composer and add optional context or discussion prompts.


Publish the post. A confirmation appears with options to close the workflow or open the published post.


You can switch to a different Community from within the composer without restarting the workflow.
HIPAA note: Live sessions, chat messages, and recordings shared as Community posts are visible to everyone with access to that group. Coach hosts and staff to keep patient-identifiable details (names, treatment specifics, before/after references) out of public chat and recordings; use a private, restricted channel or a one-on-one conversation instead when a topic involves a specific patient's care.
Do attendees need to install anything to join a Live Room or Go Live event? No. Members can join from a supported desktop browser or the Aesthetix CRM mobile app while signed in.
Can I still use Zoom or Google Meet instead of Live Room for a Community Event? Yes. Live Room is an additional location option. You can still choose Zoom, Google Meet, or another custom link and add the external meeting URL when creating the event.
Can I charge for a Community Event? Yes. Set the event to paid during creation, choose a currency, and apply pricing to a single event or a recurring series. Connect AX Pay to process the registration payment at better rates than Stripe.
Can I restrict who sees or attends an event? Yes. Restrict an event by course, group, private channel, or membership level so only the right patients, partners, or staff have access.
What's the difference between Meeting Room Mode and Stream Software Mode in Go Live? Meeting Room Mode is interactive and many-to-many, good for workshops and coaching. Stream Software Mode brings in a broadcast from external software like OBS or Zoom while your members watch and chat natively.
Can I record a live session and share a replay later? Yes. When recording is enabled, the session is captured and, once processing finishes, the recording is attached to the channel post so anyone who missed it can catch up. You can also publish it as a fresh Community post with Share as Post.
Do I get notified when someone registers for a Community Event? Not automatically. Attendees receive their own confirmation and reminders, but hosts are not alerted. Pair a custom registration form with a Workflow if you need your team notified.
Who can download a Go Live recording? Post authors and group admins can download recordings directly from the channel post.
Why didn't my Go Live session record? If a session ends due to inactivity, Aesthetix CRM shows a message that the session was not recorded for that reason.
Is there a limit on participants or session length for Go Live? No. There is no cap on the number of participants or a maximum length for a live session, though sessions that exceed configured connection-minute thresholds will enter a grace period and then end automatically.
