Course Analytics gives you a clear view of how patients and members are moving through the courses you build in Aesthetix CRM, whether that's a post-procedure care series, a skincare education program, or a paid membership offer. You'll find it under Marketing > Memberships, inside the Analytics tab for each course.
Analytics is broken into three views: Course Progress, Member Analytics, and Assessments. Each one looks at your course from a different angle, so use them together to get the full picture of how your audience is engaging with the content.
Click Marketing in the left navigation.
Click Memberships.
Open the course you want to review, then click Analytics.
From here you can switch between Course Progress, Member Analytics, and Assessments using the tabs at the top of the page.
Course Progress shows completion data for a specific product (course) inside your membership.
From the Analytics tab, click Course Progress.
Select the product you want to view. You'll be taken to a table listing everyone who has accessed it.
The table includes:
Column | What it shows |
|---|---|
The email address of each patient or member who accessed the course. | |
Progress | Completion percentage. 100% means the module is fully complete; anything under 100% means it's still in progress. Members with no progress bar haven't opened the course yet. |
Start Date | When the member first accessed the course. |
Last Login | The most recent date and time the member accessed the course. |
Login | How many times the member has opened the course. |
Use the search bar at the top of the table to filter by email when you have a large list of members. Click any member's email to open their overview page, which lists which lessons they've completed and which are still outstanding. From that page, click the URL link icon to jump straight to that person's Conversation thread in Contacts, so you can follow up directly.
If your course includes quizzes or graded assessments (built with Quiz Builder), you can review results the same way.
From the Analytics tab, click Assessments.
Use the search bar to find a specific member by name or a specific assessment by title.
The results table includes:
Title: the name of the assessment.
Name and Email: the member who took it.
Completed: whether the member finished the assessment.
Result: pass or fail.
Percentage: the member's score.
Action: click the eye icon next to any submission to see the exact answers that member submitted.
You can filter Assessments analytics by product using the dropdown in the top right, or filter by result (pass/fail) to quickly find who needs follow-up.
Where Course Progress and Assessments are organized around a single product, Member Analytics gives you a member-first view across your whole membership.
From the Analytics tab, click Member Analytics.
The List View shows every member's name, email, membership start date, last accessed date, number of logins, and overall progress in one table, so you can scan for engagement patterns at a glance.
Use the Filters control to narrow the list to a specific product or offer.
Use Sort to order members by start date, which is useful for spotting how engagement trends over time.
Click the eye icon next to any member's row to open a detailed view of their performance within specific products, sub-categories, and lessons, along with their last activity.
Use the progress bars and percentage indicators on each member's row to spot who's excelling and who may be falling behind. This is the fastest way to decide who needs a nudge, whether that's a reminder email, a follow-up call, or a check-in from your care team.
Toggle between products and categories inside Member Analytics to see which parts of a course resonate most with your patients and which ones lose people. If a particular lesson has a high drop-off rate, that's a signal to revisit the content, format, or length.
You can manually mark a category or lesson as complete for a member from inside Member Analytics. Check the box next to the relevant item and the member's progress bar updates immediately to reflect the change. This is handy when a member completed something outside the normal flow (for example, an in-office session that covered the same material) and you want their record to stay accurate.
If member behavior shows you need to add, remove, or adjust an offer inside your membership, you can make those changes directly from the Member Analytics interface rather than leaving the analytics screen. This keeps pricing and content adjustments tied to the data that prompted them.
Course and member analytics turn a static patient education course into something you can actively manage:
Spot highly engaged members. A patient who logs in daily and completes every lesson may be a great candidate for an advanced course, a loyalty offer, or a personal outreach from your team.
Catch members who are stalling. If someone completes the beginner content but never starts the next module, that's your cue to reach out with a personalized nudge or additional resources.
Improve course content with real data. If most members struggle at the same lesson (say, a step in a post-treatment care routine), that tells you where to add clearer instructions, a video, or a follow-up call.
Optimize your offers. Tracking which offers convert and which drive the most engagement helps you refine pricing and promotions for your membership programs.
Automations built around course activity (like enrolling a member in a follow-up workflow after they complete a course, or tagging a contact when they finish an assessment) are configured in Workflows, not in Analytics itself. Analytics tells you what's happening; Workflows is where you act on it automatically.
Can I track an individual member's progress within a specific lesson or category? Yes. Click the eye icon next to any member's row in Member Analytics to see a detailed breakdown of their performance across products, sub-categories, and lessons.
Can I compare progress across different courses or categories? Yes. Toggle between products and categories in Member Analytics to compare how members are progressing across different parts of your membership program.
Can I mark a lesson or category as complete for a member manually? Yes. Check the box next to the relevant lesson or category in Member Analytics and the member's progress bar updates to reflect the change immediately.
Where do I update an offer based on what I'm seeing in analytics? You can update existing offers directly from the Member Analytics interface, so pricing and content changes stay connected to the engagement data that prompted them.
Can I see how many times a member has logged into a course? Yes. The Login column in Course Progress and the List View in Member Analytics both show total logins per member, along with their most recent login date.
What does the Progress percentage actually measure? It's the percentage of a course's lessons or modules a member has completed. 100% means the course is finished; a lower number means it's still in progress, and no progress bar at all means the member hasn't started.
How do I review assessment or quiz results? Open the Assessments tab under Analytics for your course. You can filter by product or by pass/fail result, and click the eye icon on any submission to review the member's actual answers.
Can I search for a specific member instead of scrolling through the full list? Yes. Every analytics view (Course Progress, Member Analytics, and Assessments) includes a search bar so you can filter by name, email, or assessment title.
Do these analytics update in real time? Yes. Progress, login counts, and completion data reflect member activity as it happens, so you're always looking at current engagement.
Is this the same place where I build quizzes for my courses? No. Quizzes and assessments are built in Quiz Builder. Course Analytics only reports on the results members generate once a quiz is live.
