Automatic sales receipts send patients a confirmation of their purchase without any manual effort. This keeps your records accurate, builds patient trust, and creates a professional post-purchase experience. Receipts apply to payments made through order forms, calendar bookings, and invoices, and can be customized to match your practice's branding.
When enabled, receipts generate and send proof of purchase immediately after a transaction is completed. Every payment is documented and delivered to the patient automatically. Benefits include:

Receipts are sent automatically after a successful payment. Each receipt is delivered as a downloadable PDF file attached to an email sent directly to the patient's email address, so they can easily access and save it.
You have the flexibility to use custom templates for receipts. Create personalized, branded templates using the custom values available in the email builder, so your receipts look professional and align with your practice's style.

Can I send sales receipts automatically for only certain types of payments?
No. Enabling sales receipts applies globally to all payments made through order forms, calendar bookings, and invoices. For selective handling, disable automatic receipts and send them manually for specific payments.
Can sales receipts include custom fields or personalized messages?
Receipts do not support custom fields or personalized messages beyond standard transaction details. However, you can customize the email template associated with the receipt to include a general message or branding.
Are sales receipts sent immediately after a payment is processed?
Yes. Receipts are sent automatically as soon as the payment is successfully processed. Delays may occur based on email delivery factors outside of Aesthetix CRM's control, such as the recipient's email server.
Are subscription payments included?
Yes. Receipts are generated for recurring payments as well as one-time payments.
How can I verify that a receipt was successfully delivered?
Check the Email Reporting section in your account. Navigate to Marketing → Emails → Email Reporting, then filter by the recipient's email address or the subject line of the receipt email. The dashboard shows the delivery status (delivered, opened, or bounced) so you can confirm the patient received it.
How can I stop the system from automatically emailing receipts?
If you prefer to send receipts manually or through a third-party platform, disable native receipts: go to Payments → Settings → Receipts, find the toggle Enable automatic sales receipts for payments, switch it OFF, and click Save.
Can I change a receipt number to a shorter or lower number?
No. Receipt numbers are automatically generated and must always be higher than the last one used. You cannot edit, reset, or overwrite them.
If I turn off automatic receipts, will I still have a record of the payment?
Yes. Disabling the outbound email does not affect your internal bookkeeping. Every successful payment is still recorded under the Transactions tab.
Does the receipt setting apply to both one-time and recurring payments?
Yes. Once the toggle is turned off, the system stops sending automated receipt emails for all transaction types captured through your connected payment gateways.
