Message snippets are reusable, pre-crafted blocks of text or email content that you can drop into a message with a single click. Instead of retyping the same responses over and over, you save them once and reuse them everywhere your team communicates in Aesthetix CRM. Snippets help you respond to common questions faster, keep your messaging consistent and on-brand, and free your team to focus on your patients rather than repetitive typing.
Because snippets can include merge fields and custom values, they stay personal even though they're pre-written. A single snippet can automatically pull in a contact's name, appointment details, or other dynamic information, so every message feels tailored rather than generic.
Message snippets are reusable templates for text (SMS) or email messages, created to help your team maintain consistent communication. By using snippets, you save time crafting repetitive messages while ensuring accuracy and an on-brand tone in every interaction. These templates can be quickly inserted into a message, making patient communication faster and more efficient.
Snippets also support customization with merge fields and custom values, such as a contact's name or a trigger link, making them versatile for many different contexts. Whether you're answering a frequently asked question, following up on a missed appointment, or handling a recurring request, a snippet lets you send a polished, personalized message in seconds.
Communication inefficiencies can lead to delays, inconsistent messaging, and missed opportunities to engage with patients effectively. Snippets solve these problems by:
Reducing the time spent typing repetitive messages.
Ensuring a consistent tone and language across your whole team.
Increasing productivity by offering pre-organized, ready-to-use templates.
Avoiding errors with reusable, pre-approved text that aligns with your brand voice.
Whether it's responding to FAQs, following up on missed appointments, or managing recurring queries, snippets eliminate manual effort and keep your messaging professional and consistent.
Snippets show up in the places where your team sends messages, so you can reuse your saved content without leaving your workflow:
In the Inbox composer. When you're replying to a conversation, open a message thread and click the snippets icon in the composer to insert a saved text or email template directly into your reply. This is the fastest way to answer FAQs and common questions. For more on messaging patients directly, see the Inbox collection.
In Workflow SMS and email actions. Snippets can also be used when you build automated messaging, so your automations and your live conversations stay consistent with one another. For more on building automated messaging, see the Workflows collection.
You can also manage your snippet library from the messaging area of your account, where you create, organize, and edit all of your saved snippets in one place.
Step 1: Open the snippets area. Navigate to the snippets section of your account to manage your library of saved templates.
Step 2: Add a new snippet. Click Add Snippet and choose whether you want to create a Text snippet or an Email snippet.
Step 3: Name the snippet. Give it a clear, descriptive name so it's easy to find later, such as "Follow-Up: Missed Appointment" or "FAQ: Hours of Operation."
Step 4: Compose the message. Write the body of the message, using merge fields, custom values, or placeholders wherever you want to personalize the content (for example, the contact's name or appointment details).
Step 5: Preview the snippet. Review the preview on the right to make sure the content and any personalization display correctly.
Step 6: Test the snippet (optional). If you'd like, send a sample to yourself by SMS or email to confirm it looks right before you use it with patients.
Step 7: Save the snippet. Once everything looks good, click Save. Your snippet is now ready to use.
As your snippet library grows, folders and filters help you keep everything organized and easy to find.
Add a folder. Click Add Folder to create a new folder, such as "Appointments," to group related snippets together.
Move snippets into a folder. Assign a snippet to a folder by selecting it, clicking the three-dot menu, and choosing Move to Folder.
Bulk move snippets. You can also select multiple snippets at once and move them into a folder together for faster organization.
Search for a snippet. Use the search bar to quickly find a snippet by typing a keyword.
Filter by type. Use the filters to narrow results by Text or Email snippets.
Manage from the action menu. Use the three-dot action menu to edit, duplicate, or delete a snippet directly.
Step 1: Open a conversation. Open the conversation thread you want to reply to and click the snippets icon in the composer at the bottom of the message box.
Step 2: Find your snippet. Browse through your folders or use the search bar to locate the snippet you want.
Step 3: Insert the snippet. Click the snippet, and it will populate in the text box, ready to send as-is or edit further before sending.
For team members to see and use snippets inside the Inbox, they must have the correct permissions enabled in their user role. Specifically, a user needs the permission that grants access to view and manage conversations. Without it, the snippets feature will not be visible to that user.
To enable this permission:
Step 1: Go to your account Settings.
Step 2: Open My Staff.
Step 3: Select the team member you want to update.
Step 4: Open Roles & Permissions.
Step 5: Make sure the Conversations permission is toggled on and the option to view and manage conversations is checked.
Step 6: Click Save.
