Bulk Actions let you select multiple opportunities at once and update them together, so you can manage your pipeline without editing records one at a time. Select opportunities in either Cards view or List view, then apply changes such as reassigning the owner, moving to a different pipeline or stage, updating the status, or deleting records. This is ideal for teams managing high-volume pipelines who need to make the same change across many opportunities quickly.
Faster workflow: Update multiple opportunities at once from the visual Cards view or the List view.
No view switching: Perform bulk actions directly in Cards view without moving to List view.
Select All option: Select every opportunity on the current page when viewing 20 or more opportunities.
Error prevention: Card drag-and-drop and opening are disabled during selection mode to prevent mistakes.
Better accessibility: Manage pipelines in whichever view you prefer.
Streamlined management: Make high-volume updates quickly and efficiently.
Step 1: Open the Opportunities tab. Navigate to Opportunities from the left-hand menu. This opens the Cards view, showing all pipeline stages and entries across your pipeline.
Step 2: Select a pipeline. Use the dropdown menu at the top to select the pipeline you want to manage. This filters the Opportunities view to show only entries from the selected pipeline, making bulk updates more focused and efficient.
Step 3: Choose your view mode. Use the toggle icon at the top-right to switch between Cards view and List view. Both support bulk actions.
Cards view is helpful when you want to visually scan and select opportunities by their pipeline stage before applying bulk changes.
List view is ideal for working with large volumes of data, as it allows quick scrolling, column sorting, and mass selection for bulk edits.
Choose the view based on whether you're prioritizing visual pipeline context or high-volume record management.
Step 4: Select multiple opportunities. To select opportunities, hover over each one and click the checkbox that appears in the top-right corner of the card. In List view, use the checkboxes beside each row.
Step 5: Use "Select All" for large groups. When working with large volumes, click Select all [number] to include every opportunity visible on the current page. This appears automatically when there are 20 or more opportunities on the page and saves time when applying the same change across an entire group of records.
Step 6: Click Edit. After selecting your opportunities in either Cards or List view, an Edit button appears at the top of the screen. Click it to apply changes to all selected records in one go.
Step 7: Choose a field to edit. In the Bulk Edit panel, select the field you want to update across the selected opportunities. Commonly used fields include status, value, pipeline, stage, and owner — useful for reassignments, cleanup, or campaign-based updates.
Assign a new owner: Select the Owner field to reassign opportunities to a different team member. This is especially useful when redistributing leads during team shifts, vacations, or coverage gaps.
Change pipeline and stage: Use the Pipeline and Stage fields to relocate multiple opportunities across workflows. This is helpful when leads need to be regrouped under a new sales process or post-campaign phase.
Update opportunity status: Select Status to mark selected opportunities as Open, Won, Lost, or Abandoned. This streamlines updates after call reviews, outreach sequences, or campaign follow-ups.
Step 8: Apply your updates. Click Confirm to apply your changes to all selected opportunities.
Step 9: Monitor progress. Head over to the Bulk Actions page to monitor progress, review successes, and identify any errors.
You can delete a single opportunity from its card (three-dot menu → Delete) or delete many at once with Bulk Actions.
To bulk-delete: select the opportunities, click Edit / Delete, and confirm — for large deletions you'll be asked to type DELETE to proceed. Deletions of many records are processed in the background, so give them a moment to complete.
To restore deleted opportunities: go to Settings > Audit Logs, filter by the delete action, and restore the records. Deleted opportunities can be restored for 60 days, after which they're permanently removed.
Caveat: An opportunity that was linked to a contact who has since been deleted cannot be restored on its own — restore the contact first. Because Aesthetix CRM keeps one opportunity per contact per pipeline, deleting and restoring should be done carefully to avoid orphaned records.
Can I select cards across multiple pages using "Select All on Page"? No, this option only selects cards on the current page.
What if I select the wrong cards? Click the checkbox again to deselect, or deselect all to exit selection mode.
Will selection mode affect card movement or opening? Yes. Drag-and-drop and opening cards are paused during selection to prevent errors.
How do I know if there are 20 or more opportunities on a page? The "Select All on Page" button appears automatically when this limit is reached.
Can I undo a bulk action? Some actions can be reversed (like moving cards), but it's best to confirm your selections carefully before applying.
Do user permissions impact available actions? Yes. The available actions vary based on your user role and permissions.
