In the past, getting email working meant integrating a separate third-party provider before you could send a single message. This article explains what the email system is, how it decides which sending path to use, and why sending from a professional domain matters.
Aesthetix CRM Email acts as an email service provider hosted inside the CRM. It delivers industry-leading deliverability, error monitoring, and compliance so your emails are far more likely to reach the inbox. Because it is built directly into the platform, you do not need to sign up for, configure, or maintain an outside email service to start sending.
This is the standard email system for all current Aesthetix CRM accounts. It was built so that email "just works" the moment you need it, whether you are sending a one-off message from a conversation, a bulk send, or an automated workflow.
When an email goes out, Aesthetix CRM decides which sender and sending path to use based on how the email is sent and how your account is configured. The system follows a priority order and uses the first option that is available, falling back to the next one if nothing is set.
The general order is:
Account-level sender configuration. If you have set a sender address for the specific send (for example, in a workflow's settings or a Send Email action), that takes priority.
A connected sending domain. If a professional sending domain is set up for your account, the system uses it so your emails are aligned to a domain you own.
The default Aesthetix CRM sending path. If nothing else is configured, the system falls back to its own built-in sending path so your email still goes out reliably.
The sender your contact actually sees also depends on whether the email is manual or automated, and whether the contact is assigned to a user. Manual emails sent from a conversation use the logged-in user's email. Automated emails follow the configured sender first, then fall back to the assigned user, business, or account-level address depending on how the contact is set up.
If you want to control exactly which sender address appears, configure it in the relevant surface (a conversation, a template, a bulk send, or a workflow) rather than relying on the fallback.
For the best deliverability, send from a domain you own rather than from a free personal address such as @gmail, @yahoo, or @hotmail.
The most important factor in email deliverability is domain reputation. When you send from a free personal address, you are borrowing that provider's reputation instead of building your own, and many providers will block or filter bulk mail sent from their domains. Sending from your own professional domain lets you build and protect your own sending reputation over time.
Think of it like physical mail. A carrier transports your letter, but it still comes from you, and the recipient is more likely to accept something from a sender they recognize. Aesthetix CRM is the carrier, and your professional domain is how recipients learn to trust your mail.
If you do not yet have a professional email address, you can usually add one through your domain registrar, your website host, or a workspace provider, then connect a sending domain in Aesthetix CRM.
A small number of early or legacy accounts use an older direct email integration behind the scenes and may not have every feature available in the standard system. Is Aesthetix CRM Email the default for new accounts? Yes. All new accounts use Aesthetix CRM Email by default, with no extra setup required to start sending.
Do I have to use my own email provider? No. Aesthetix CRM Email is the primary, built-in solution and works out of the box. You can connect your own provider later if you prefer, but it is not required.
Why can't I just send from my Gmail or other free address? Free personal addresses rely on the provider's reputation and are commonly blocked or filtered for bulk sending. Sending from a domain you own protects your deliverability and lets you build your own reputation.
Which sender will my contacts see? It depends on whether the email is manual or automated and whether the contact is assigned. Manual emails use the logged-in user's email; automated emails use the configured sender first, then fall back through the assigned user, business, or account-level address.
My account seems to be missing some email features. Why? A small number of early accounts run on an older email integration and may not have every feature. Contact support to confirm your setup and move to the standard Aesthetix CRM Email.
