Managing your personal notifications is essential for staying informed without becoming overwhelmed. Each user can tailor notification preferences to suit their workflow, and it’s important to update these settings when first added to an account.
Note: If you are part of multiple Aesthetix CRM accounts, you must configure notification settings independently for each account.
Navigate to Settings from the left-hand menu.
Select My Profile.
Click on the Notifications tab at the top of the page.
From here, you can configure how and when you're notified—via in-app, email, or SMS—for various events.
Below is a breakdown of each notification category, along with best-practice recommendations:
Conversations (Inbox)These settings manage how you're alerted to activity within the Conversations module (Inbox).
Notify for all new conversations and messages
️ Turn this off. It is too noisy for most users and defaults to email alerts.
Notify when a conversation is assigned to you
Optional. Useful if you’re in a team where leads are being distributed.
Notify for new messages in conversations assigned to you
Recommended.
Notify when added to an internal chat or when messages are added to those chats
Optional.
Notify when mentioned
Recommended. For both new and ongoing conversations.
Notification type suggestions:
Turn off all SMS alerts.
Keep in-app notifications for most settings.
Use email only for critical mentions or assignments, if needed.
Task NotificationsThese help you stay on top of your to-do list and follow-ups.
Reminders for upcoming tasks (15 minutes before)
Recommended.
Daily summary of due and overdue tasks (8 AM)
Optional but useful.
Choose in-app or email depending on personal preference.
WordPress NotificationsNot applicable to most Aesthetix CRM users.
️ Disable all.
Facebook & Google ReviewsIf you are not involved in marketing or reputation management:
️ Disable all.
If you are in marketing:
Keep new review notifications enabled for either platform.
However, Google often sends its own emails already, so duplicating alerts may be unnecessary.
Calendar NotificationsOnly relevant for practices using pre-qualified calendar scheduling, typically in plastic surgery.
Notify if calendar integration disconnects
Recommended.
Notify if meeting location is missing
Optional.
Click the bell icon in the top navigation bar to access your in-app notifications. This is a clean and non-intrusive way to stay informed without flooding your inbox or phone.
Customize notifications as soon as your user account is created to avoid alert fatigue.
Periodically review and adjust settings as your role or responsibilities evolve.
Keeping your alerts focused on what matters most helps maintain productivity and reduces distractions.
