Aesthetix CRM provides four core custom fields across all V1 EMR integrations to help you manage and automate communication around upcoming and past appointments. This article breaks down what these fields are, where to find them, and how they function in conjunction with our supported EMRs.

Next Visit Date | Date of the patient’s upcoming appointment |
Next Visit Service | Type of service scheduled for the next appointment |
Last Visit Date | Date of the patient’s most recently completed appointment |
Last Visit Service | Service provided at the most recent appointment |
These fields are created because most V1 EMR integrations do not provide full appointment history. Instead, we track and update only the most recent past and upcoming future appointment details via these custom fields.
These custom fields typically live under the Appointments folder inside your Custom Fields section in Aesthetix CRM.
Note: If your integration was upgraded before the Appointments folder was introduced, you may find these fields in other folders instead.
You can use these fields to power several automation types, including:
Pre-appointment workflows
Post-appointment follow-ups
Retention reminder automations

Last Visit Date can be used with the "Field has changed" trigger to identify recent activity and initiate workflows.
Avoid using "Field changes to [exact value]" — this method is unreliable due to variability in appointment data.
These fields are automatically updated through the EMR integration when certain events occur:
Next Visit Date & Service
Updated when a future appointment is booked.
Last Visit Date & Service
Updated when an appointment is marked completed.
Next Visit Fields: Updated upon appointment booking.
Last Visit Date: Updated when the appointment status changes to Checked In.
Last Visit Service: Updated when the Invoice is Closed.
Due to differences in how EMRs handle appointment statuses, timing and accuracy may vary slightly.
Pre-load Custom Fields into Forms and Workflows: Use these fields in email/SMS templates or appointment reminders.
Monitor Workflow Triggers: If a workflow isn't running, check if the related appointment field has updated as expected.
Keep in Mind EMR Variances: Not all EMRs provide consistent data on appointment completions or services rendered.
