Aesthetix AI Assistant Troubleshooting Guide

When your AI Assistant isn’t responding or isn’t quite hitting the mark, don’t sweat it—this guide will walk you through the most common issues and how to fix them like a pro.

1. No Response from the Bot?

  • Check Your OpenAI Billing:

    • Visit: https://platform.openai.com/account/usage

    • Log in using your OpenAI credentials.

    • Click “Billing” on the left-hand menu.

    • Make sure your credit balance is active and your payment method is valid.

    • If credits are depleted or payment has failed, the assistant will stop responding.

  • Check the “Stop AI” Tag:

    • Go to the contact’s profile.

    • Look for any tags labeled “Stop AI”.

    • If that tag is active, it will block the assistant from responding. Simply remove the tag to restore function.


2. Is the Bot Responding Incorrectly?

  • Review Your FAQs and Website Content:

    • The AI assistant pulls directly from your site and FAQ pages when responding to questions.

    • Ensure all content is accurate, up-to-date, and aligned with how you want the assistant to speak.

    • Remove any outdated, duplicate, or conflicting information—this helps prevent confusion or mixed messaging.

  • Use the Aesthetix AI Playground to Test the Bot:

    • Navigate to the AI Chat menu in your Aesthetix dashboard.

    • Click on your AI Agent to access its settings.

    • This will take you directly into the AI Playground, where you can simulate real conversations, test responses, and adjust phrasing or tone before the assistant interacts with live contacts.

    • It’s the perfect place to catch quirks, preview updates, and ensure your assistant sounds exactly how you want.


3. Is the Bot Trying to Book an Appointment?

  • Check the Contact’s Conversation History:

    • Has the client previously mentioned availability or appointment requests?

    • The AI may reference past messages when suggesting bookings.

  • If the bot seems to be jumping the gun or offering the wrong time:

    • Use the “Stop AI” tag in the contact profile.

    • Have a team member step in to take over the conversation with a personal touch.
