Follow these steps to efficiently reassign leads from one user to another.
Step 1: Configure the Lead Reassignment Workflow
Navigate to the Workflows section.
Locate the workflow titled Lead Reassignment.
Ensure that the workflow trigger is set to the tag "Reassign".
Edit the Assigned to User action:
Select the new user to whom you want to reassign leads.
If leads should be distributed among multiple users, enable equal distribution.
Save the action and ensure the workflow is published.
Step 2: Filter Leads for Reassignment
Go to the Contacts section.
Use the search bar to filter by Assignment:
Search for Assigned to and select the user whose leads you want to reassign.
Step 3: Apply the Reassignment Tag
Select all the filtered leads.
Click on Add Tags at the top of the page.
Search for and select the tag "Reassign".
Confirm the action to apply the tag to all selected leads.
Step 4: Monitor the Reassignment Process
Go to Bulk Actions to check the status of the lead reassignment process.
Click Show Stats to confirm that the process was completed successfully.
Step 5: Verify Lead Transfer
Return to Contacts and filter by Assigned to.
Search for the previous user—there should be zero leads remaining under their name.
Check the new user’s contact list to confirm the reassigned leads are now listed under them.
Step 6: Remove the Old User (If Needed)
If the previous user is no longer with your practice, you may choose to remove their account from the system.
